Event Soundtracks Terms and Conditions

Work Ownership

All arranging, transcription, or production services we provide are performed on a work-for-hire basis, unless explicitly agreed otherwise in writing. This means that once the project has been completed and paid for in full, the client owns the rights to the specific arrangement or materials created for their project.We do not claim ownership of work produced for clients, except in the following possible situations;

- Arrangements of public domain music where no prior copyright exists

- Original music compositions created by us that are not purchased under a full rights buyout agreement

- Projects where co-writing or shared authorship is agreed upon before work begins

 

We will never assert copyright ownership over a client’s original composition or material provided by the client. Clients are responsible for obtaining any necessary permissions or licences related to copyrighted music. This may include;

- Permission to arrange copyrighted works

- Mechanical licences for recordings

- Performance rights where required

 

We may assist with administrative tasks related to licensing if requested for an additional fee, but all legal responsibility and costs remain with the client.

 

Our Services

 

Our service typically begins with transcription or interpretation of source material provided by the client. This material may include:

-Audio files (mp3, wav, etc.)

-Sheet music or lead sheets (PDF, images)

-MIDI or MusicXML files

-Rough demos or sketches

 

From this material, we create a new arrangement, transcription, or production, depending on the scope of the project. The working process usually involves a digital audio workstation such as Logic Pro or a notation software such as Sibelius to create a structured score or recording of an arrangement. We can produce a range of deliverables, including:

-Mp3s

-Sheet music (PDF)

-MIDI or MusicXML files

-Stems or individual tracks (when requested)

-Other production files, if required

 

Export formats or production tasks outside the original scope may require more time and incur extra charges.

 

Recording Services

 

When a project includes a recording, the arrangement or transcription will be developed in a digital audio workstation. Recordings may be produced using either MIDI-based instruments or recordings of live musicians, or a combination, depending on the services selected.This may include:

-Use of MIDI instruments

-Producing backing tracks

-Recording instrumentalists or vocalists

-Editing and mixing audio

 

When a live musician is requested, an additional fee applies in accordance with the rates listed on the website.

 

Project Process

 

We have a quote-based and a package-based system.

 

Package

 

The client selects their requested package with the prices outlined on the website. After they have selected their package, there will be an area in the form to provide a link to the audio or sheet music source material for us to work with, as well as additional information on the style, length, instrumentation, and structure. At this point, the client pays the initial 50% of the fee. We create the arrangement, transcription, or production based on the agreed brief. When the project is finished, we provide proof of completion, such as a reference audio file, preview images of the score, or other sample deliverables. The remaining 50% of the fee must be paid before final files are delivered. Once payment is received, the final files will be provided in the agreed formats.

 

Quote

 

The client completes our quote questionnaire and shares details about their project, including a link to the audio or sheet music source material, as well as additional information on style, length, instrumentation, and structure. We then come back with a quote, which means everyone involved gets paid in accordance with Musicians' Union guidelines. The pricing we have given will be explained with this quote. Once the client is happy with the quote, they let us know, and work begins after the client accepts the proposal and a deposit has been received. We create the arrangement, transcription, or production based on the agreed brief. When the project is finished, we provide proof of completion, such as a reference audio file, preview images of the score, or other sample deliverables. The remaining 50% of the fee must be paid before final files are delivered.Once payment is received, the final files will be provided in the agreed formats.

 

Revisions Policy

 

One round of revisions is included in the standard project fee. This revision must fall within the scope of the original brief, which includes: instrumentation, style, tempo, key, and musical structure based on the material originally supplied. If a client would like to make revisions, they may submit requests using:

-marked-up PDFs or images of the score

-written notes referencing bar numbers or sections

-edited versions of the files we originally supplied

 

Clients may take time to collect their revision notes before submitting them.

 

Revisions Not Included

The free revision does not apply to major changes to the project brief, including

-requesting a completely different musical style

-large structural changes to the arrangement

-significant key changes that require extensive re-voicing

-adding new instruments or parts not previously agreed upon

 

Such changes will be treated as new work and quoted separately.

 

Additional Revisions

 

Additional revisions beyond the included round may be quoted individually or billed at our hourly rate of £40.

 

Payment Terms

 

The initial 50% of the fee is non-refundable once work has started. Final files are delivered only after the remaining balance has been paid in full. Delivery timelines are agreed upon at booking, and we make every effort to meet them. Rush projects or very short deadlines may incur an additional rush fee, to be agreed in advance.

 

Delivery

 

Final deliverables may include any of the following formats, depending on the project:

-PDF sheet music

-MP3 or WAV audio files

-MIDI files or MusicXML files

-Session or production files (if agreed)

 

Files will be supplied electronically unless another delivery method is requested.

 

Client Responsibility

 

Clients must ensure that

-They have the legal right to use the material they provide, meaning any required licences or permissions are obtained

They review deliverables promptly and provide revision feedback clearly.We are not responsible for legal issues arising from unauthorised use of copyrighted music provided by the client.
